Accessibility Policy

(the “Policy”)

Effective July 17, 2025, as amended from time to time

1. Our Commitment

Kinaxis Inc. (“Kinaxis”) is committed to excellence in providing goods and services to all persons, including people with disabilities, in a manner that respects their dignity and independence. This policy sets out our practices with respect to accessible customer service, design of public spaces, as well as accessible information and communications. Kinaxis also has an accessibility policy with respect to our employment practices, which is provided to employees upon hire.

This policy reflects Kinaxis’ dedication to providing goods and services in accordance with the spirit and intent of the Accessibility for Ontarians with Disabilities Act (“AODA”), the Ontario Human Rights Code, and the Ontario Occupational Health and Safety Act.

We also have a Multi-Year Accessibility Plan that outlines our employment standards and the steps we have taken to meet our obligations under the AODA.

2. Scope

This policy applies to all Kinaxis employees and contractors who deal with members of the public or other third parties located in Ontario on behalf of Kinaxis with respect to the provision of our goods and services, whether by telephone, in person, by electronic means, or otherwise. Kinaxis will strive to accommodate any persons with disabilities, as required by law.

Kinaxis is responsible for reviewing this policy annually and recommending amendments to ensure on-going compliance with regulated accessibility standards and legislated obligations.

We will monitor our current practices to ensure compliance with this policy.

3. Accessible Customer Service Standards

Communication

We will strive to communicate with people with disabilities in ways that take into account each person’s particular disability.

Service animals

Unless otherwise prohibited by law, persons with disabilities will be permitted to be accompanied by a service animal at Kinaxis’ premises. For the purpose of this policy, an animal is a “service animal” if it is readily apparent that the animal is being used for reasons relating to a person’s disability, or the person provides a letter from a physician or nurse confirming that the animal is required for reasons relating to a disability.

Support persons

Unless otherwise prohibited by law, a person with a disability who is accompanied by a support person will be allowed to have that person accompany them in the parts of our offices that are open to the public. For the purpose of this policy, a support person is a person who is paid professional, volunteer, family member, friend or otherwise, who accompanies a person with a disability in order to help with communication, mobility, personal care or medical needs or with access to goods or services. A support person does not necessarily need to have special training or qualifications.

Should a Kinaxis employee or a person invited to enter our Ontario offices need to be accompanied by a support person, we ask that they contact accommodation@kinaxis.com so we may ensure we are ready for their arrival.

Assisted devices

We are committed to serving people with disabilities who use assistive devices and endeavour to become familiar with the various assistive devices used by people with disabilities and will be flexible in facilitating their use by people with disabilities.

Notice of temporary disruption

We will post timely public notice of a current or anticipated disruption in any facilities or services we provide to enable people with disabilities to access our services. This notice will include information about the reason for the disruption, its anticipated duration, and a description of alternative facilities or services, if available.

Training for staff

Kinaxis provides training appropriate to the duties of our workers in Ontario. We maintain a record of all training provided, including the dates on which the training was provided and the number of individuals who received it.

Revised training will be provided in the event of changes to legislation, procedures and/or practices. Kinaxis will ensure that third party organizations that provide goods or services on behalf of Kinaxis to members of the public or other third parties located in Ontario shall provide similar training to any of their employees, volunteers and sub-contractors who engage in such activities on behalf of Kinaxis. Any such training will include a review of this policy.

4. Information and Communication Standards

Feedback process

Kinaxis welcomes and values feedback regarding our provision of goods, services and facilities to persons with disabilities so that we may continually improve the accessibility of our goods, services and facilities. Persons who wish to provide feedback on the way Kinaxis provides services and facilities to people with disabilities can email or make verbal suggestions to product support and our trainers.

All feedback and suggestions can be directed to our Human Resources team (hrservices@kinaxis.com) or through our reception at 613-592-5780.

Persons who provide feedback can expect us to get back to them in a timely manner depending on the complexity of the issues raised. Complaints will be addressed according to our regular complaint management procedures. Kinaxis ensures our feedback process is accessible to people with disabilities through the provision or arrangement of accessible formats and communication supports, upon request.

Emergency procedures, plans or safety information

In the event that we make emergency procedures, plans and safety information available to the public, we will provide it in an accessible format with appropriate communication supports in a timely manner upon request.

Accessible formats and communication supports

Upon request to accommodation@kinaxis.com and where necessary, Kinaxis will provide or arrange for the provision of accessible formats and communication supports for persons with disabilities in a timely manner, that will take into account the person’s accessibility needs due to the disability. We will consult with the person making the request in determining the suitability of an accessible format or communication support.

Accessible websites and web content

When updating or making significant changes to its website, Kinaxis shall incorporate accessibility criteria and features and shall follow the schedule set out in the AODA Integrated Accessibility Standards. You can read more about our approach to web accessibility.

5. Design of Public Spaces Standard

Design of public spaces

Kinaxis will meet all applicable accessibility laws when building or making major changes to our public spaces. Such spaces shall be designed and built in accordance with all accessibility requirements of the AODA and applicable building legislation.
